ERP systems allow for rigorous and efficient monitoring of the validation processes of a company’s activities for effective and rigorous internal control. This is no longer questioned; it is a fact.
However, beyond internal control, these systems create black holes in the process that need attention:
Once the purchase order is validated in the system and sent to the supplier, and until its receipt, there are very few means to track this purchase order and ensure effective tracing of its route from the suppliers’ warehouses.

Generally, this tracking is done by a dedicated person, usually linked to the purchasing or logistics department, and allows for more or less rigorous tracking of all ongoing orders. They record all orders in a file (often an Excel under VBA or a BI), and track them meticulously, supported by phone calls and emails, to update this file as information comes in and updates are made.
I have lived through this nightmare of tracking on Excel for many years, and I know how difficult and tedious it is, especially since generating effective and meaningful reports requires computer skills that I did not have (I still don’t, by the way!! ).
However, this system is limited by, on the one hand, the number of ongoing orders and, on the other hand, the possibility of errors and/or omissions, not to mention the usual and often feared bugs in this kind of file (everyone has experienced the skipped heartbeats of broken links between sheets and tabs!!).
If the number of orders is less than 20 per month, it is quite manageable. But suppose a company generates more than 50 unique or distinct orders per month… This tracking suddenly becomes much more delicate and difficult. And that’s where a dedicated and reliable solution becomes very useful.
Our entire team worked hard to create a targeted solution for the Moroccan market, with all its administrative, customs, and freight forwarder and carrier complexities, to shed light on this headache that order tracking can often represent.
This solution will not only allow for traceable tracking of all ongoing orders but also effective and meaningful reporting to the hierarchy, to monitor and appreciate the achievements and performances of suppliers and direct service providers.
