Best KPIs for Monitoring Supplier Orders

Each end of period, (monthly, quarterly, by semester or yearly), you want to evaluate your suppliers to rate their efficiency and ability to ensure your supply chain effectively and accurately.

This can be done using the below ratios that can highlight your supplier’s performance :

1. Delivery Compliance Rate: Percentage of orders delivered according to agreed specifications and timelines. This would be : Complying deliveries / total orders issued to a specific supplier.

2. Late Delivery Rate: Percentage of orders delivered later than the scheduled date. You can calculate this one either by average late delivery in days ratio or by percentage of delayed deliveries. You can apply one or both of the following :

For each order :

Promised delivery date / actual delivery date (average late delivery in days)

Number of late deliveries / Total deliveries (ratio of late deliveries. Shows the efficiency of your supplier)

3. Product Quality Rate: Percentage of delivered products that meet defined quality standards.

Every PO goes with a technical specifications’ list, approved by all parties before issuing the PO . Therefore, the deliveries must comply to these agreed specs.

Every delivery must be scrutinized and approved upon reception, thus allowing to consider your supplier’s quality compliance  ratio.

4. Communication Rate: Efficiency and responsiveness of communications with the supplier.

Do you have to write 4 emails and reminders before getting an answer ? Do you have to chase your suppliers for updates on your orders and their status?

Are you often redirected to another interface, because the person you exchanged with last month already left, or changed position, without you being informed by your supplier ?

This is what you are looking for here !

5. Issue Resolution Rate: Speed and effectiveness in resolving issues by the supplier.

Self explanatory I guess.

6. Total Cost of Ownership: Overall cost including purchase price, transportation fees, storage costs, etc.

Your product’s cost isn’t only the buying cost. You need to incorporate all the accumulated costs to ship your product to your warehouse (and often also your warehousing cost !), in order for you to encompass the effective and actual product cost you are facing.

So all your transportation, Custom fees, Custom’s warehousing  fees, forwarder’s fees, penalties and taxes under Customs, conformity certificate costs, etc.

Purchase Order follow-up: Blackholes and delays 

ERP systems allow for rigorous and efficient monitoring of the validation processes of a company’s activities for effective and rigorous internal control. This is no longer questioned; it is a fact. 

However, beyond internal control, these systems create black holes in the process that need attention: 

Once the purchase order is validated in the system and sent to the supplier, and until its receipt, there are very few means to track this purchase order and ensure effective tracing of its route from the suppliers’ warehouses.  

Rings a bell? 

Generally, this tracking is done by a dedicated person, usually linked to the purchasing or logistics department, and allows for more or less rigorous tracking of all ongoing orders. They record all orders in a file (often an Excel under VBA or a BI), and track them meticulously, supported by phone calls and emails, to update this file as information comes in and updates are made. 

I have lived through this nightmare of tracking on Excel for many years, and I know how difficult and tedious it is, especially since generating effective and meaningful reports requires computer skills that I did not have (I still don’t, by the way!!  ). 

However, this system is limited by, on the one hand, the number of ongoing orders and, on the other hand, the possibility of errors and/or omissions, not to mention the usual and often feared bugs in this kind of file (everyone has experienced the skipped heartbeats of broken links between sheets and tabs!!). 

If the number of orders is less than 20 per month, it is quite manageable. But suppose a company generates more than 50 unique or distinct orders per month… This tracking suddenly becomes much more delicate and difficult. And that’s where a dedicated and reliable solution becomes very useful. 

Our entire team worked hard to create a targeted solution for the Moroccan market, with all its administrative, customs, and freight forwarder and carrier complexities, to shed light on this headache that order tracking can often represent.

PORTNET: features and information 

As if the Covid pandemic and the Ukraine Russia war weren t enough, the Moroccan government has decided to strengthen the importation controls on goods meant for the local consumers… 

So since 2015, it has already implemented a national platform for all 

#imports and #exports on one single website “Portnet”, which englobes all stakeholders: importers, exporters, Customs, forwarders, banks, transporters, payment facilitators and platforms, you name it! 

If it has a hand on any import /export commercial operation, it’s on #Portnet

It was quite a challenge to adapt to this new digital era for our logistics, but we did what it takes and we got there…. 

Now since January 2022, actually delayed until February, there were additional hurdles put between importers and clearance through Customs, namely 3 technical authorizations prior to clearance: 

(Fasten your seatbelts! 😅😅) 

^^The MCIA certificate (Ministry of Commerce, Industry and Artisanat -arts and crafts-). All imports have to obtain that certificate to proceed through customs; 

^^ The Weights and Measures certificate (Poids et Mesures): 

Any tool, measuring or weighing instrument has to be examined and validated by this service’s inspectors… and they are veeeery strict!! Obviously not by choice, but because many counterfit tools and instruments were imported and caused many physical, financial and moral damages. Example: malfunctioning battery chargers that lead to injuring explosions and domestic fires) 

Prepare your datasheets before importing any product! 

^^ The ANRT certificate (Agence Nationale de Régulation des Télécommunications): any imported /exported item related to communication, electronic waves, radio, talkie walkie, aso… nowadays drones too for example, has to be inspected and approved by this authority because of obvious security reasons. 

Last but not least, the now very popular “Certificate of Conformity”, thats needs to be obtained from a reknown and accreditated certification bureau from the country of provenance of the goods… without which your goods will be blocked under Customs once arrived, with very few solutions -if any!!- to clear them!!

Hi Everyone ! 

I operate in procurement logistics, and with my partner, we are finalizing the launch of an app that will help companies track and monitor all their ongoing orders, preferably those managing 25 to 30 orders or more per month. 

This app will also generate performance displays, a global dashboard to get a very precise idea of the status of all ongoing orders, with other features, existing and upcoming in future versions… 

This will provide increased visibility on ongoing activities and substantial savings on logistics costs, while significantly reducing operational risks, for obvious reasons of rigorous tracking. 

For now, it is focused on the Moroccan market, but flexible enough to adapt to other markets in the near future, Inshallah!
